Training Staff To Use Internet Fax:
You can't teach an old dog new tricks, but when it comes to teaching old staff to use new electronic systems such as internet fax - you may just have to force them to learn. Indeed, ditching the known world of "do it yourself" technology such as manual fax machines might be a tough step in creating new time consuming opportunities at your workplace. But once your staff get through that initial period of confusion and distaste - they will hopefully come out the other side with a new understanding and belief.
Recently, a case study was done on a company which indeed switched from using manual faxing machines to internet faxing software. The change but a huge amount of pressure on the administration team, who at first had absolutely no idea why the management team had implemented such as "user-unfriendly" computer based system.
It wasn't until 3 months down the track that the administration team did an about turn, and discovered that indeed the new technology was beneficial to the firm.
Giving It A Bit Of Time.
It won't happen overnight, but it will happen. That's the saying that Cindy Crawford so cruelly imposed on us in our younger years. And as this has now become somewhat of a tossed around cliche, I thought it would also be appropriate for this scenario.
When you decide to take the step towards internet faxing methods, don't expect your staff to love the change within a day or two. The learning curve for this type of product is quite steep, meaning that everyone will need to have patience with each other to ensure the success of the product.
This requires consideration on both ends of the scale. Administrators and those staff who will be actually responsible for using the fax software - need to be made aware that this is a non-reversible technology change. In other words, internet fax is here to stay, and you won't be changing back to the old method ever again.
This will immediately imprint a sense of urgency into the minds of the staff.
Measuring The Changes.
Once staff know that internet fax is the way of the future - they will probably make a better effort to get to know it. It is at this stage where the realization that internet fax is indeed a better option for the business, comes about.
